What evidence a finance team can keep

After an allow, an escalate, or a deny, the useful question is what you can show a colleague or an auditor later.

What the pack holds

  • Who asked: the agent and the human owner.
  • What was requested: the action and the amount context.
  • Which limits applied.
  • The outcome: allow, escalate, or deny, and the reason.
  • A signature over that record.

What it does not prove

A signed pack proves the record has not been quietly rewritten. It does not prove the invoice was genuinely eligible, that timesheets were true, or that the bank paid the right account. Those facts come from your own systems.

When the facts change later

The original decision stays as it was. If a bank detail changes, or an approval is withdrawn, the current answer can move to “check again” without rewriting history.
